Terms of Service
Last updated: October 12, 2026
These Terms are also available in Spanish. If you live in Chile, or if the two versions differ, the Spanish version prevails.
1. Who We Are and What These Terms Cover
Beeledger is operated by Vendaq SpA (“Vendaq”, “we”, “our”, “us”), a company registered in Chile under tax ID (RUT) 78.368.957-K, at Pastor Fernández 17100, Lo Barnechea, Chile.
These Terms of Service (“Terms”) govern your use of the Beeledger Android app, the web app at app.beeledger.co, the website beeledger.co, and the related services and integrations (together, the “Service”).
You accept these Terms when you create an account or use the Service. You can read, save or print them at any time from this page, including before you sign up. If you do not agree with them, do not use the Service.
If you use the Service as a consumer, nothing in these Terms takes away the rights that the consumer protection law of your country gives you and that cannot be waived by contract.
2. The Service
Beeledger helps beekeepers record and organize the work they do in their apiaries. Depending on your plan, the Service lets you:
- Record inspections by voice or video, which automated systems, including artificial intelligence, transcribe and turn into records for each hive
- Log inspections, tasks, notes and photos by hand
- Read summaries of your hives and apiaries written by artificial intelligence
- Work offline on your phone and sync later
- Work with other people in a team, and share selected records through links
- Export your data
The Service changes over time. Section 6 explains what we can change and how we tell you.
3. Accounts and Teams
3.1 Your Account
Give accurate information when you sign up and keep it up to date. You are responsible for keeping your login details safe and for what is done with your account. Tell us at once at [email protected] if you think someone else has used it. An account is for one person: do not share your login.
3.2 Teams
Hives, apiaries and records belong to a team. The person who created the team, or the person it was transferred to, is its owner. The owner chooses and pays for the plan, invites and removes members, and decides their roles. What a member records for a team stays with the team when that member leaves it.
If you use the Service on behalf of a business, you confirm that you can bind that business to these Terms.
4. Plans, Prices and Payment
4.1 Plans
We offer a free plan and paid plans. The current plans, what each one includes, their limits and their prices are shown on our pricing page and in the app when you subscribe. Depending on the plan, a subscription can cover a team, a number of people or a number of licences.
4.2 Free Plan
The free plan costs nothing and has no time limit. We will never charge you for it: you only pay if you choose to subscribe to a paid plan. What it includes can change as described in section 6.5.
4.3 Free Trial
New teams may get a free trial of the paid features. We do not ask for a card to start it, and it never turns into a paid subscription by itself. When it ends, the team carries on with the free plan and keeps all its data, unless someone subscribes.
4.4 Where You Buy
- On Google Play: Google takes the payment. The purchase is also governed by Google Play’s terms, and you manage or cancel the subscription in Google Play. Refunds of Google Play purchases follow Google Play’s policies, except where these Terms promise you more.
- On the web: our payment provider (currently Dodo Payments) sells the subscription to you as merchant of record. It takes the payment, issues the receipt and handles the taxes. You manage or cancel the subscription from your account settings or from the link in your receipt.
4.5 Billing, Renewal and Cancellation
Subscriptions are paid in advance, monthly or yearly, and renew automatically at the end of each period until you cancel. Prices include taxes: the price shown is the price you pay.
You can cancel at any time. The cancellation takes effect at the end of the period you have paid for, and you keep the paid features until then. Your team then carries on with the free plan and keeps all its data.
4.6 Refunds and Right of Withdrawal
Because you can try the paid features for free, with no card, before paying anything, a payment is not refundable once its period has started, except where these Terms (sections 6, 11 and 12) or the law say otherwise.
For users in Chile, and as article 3 bis, letter b, of Law 19,496 allows, the right of withdrawal (derecho de retracto) does not apply to subscriptions to the Service.
4.7 Promotions, Discounts and Complimentary Access
We may offer promotional prices, discounts, longer trials or free access to paid features, for example to early users, partners or testers. Each offer applies only for the period and on the conditions we stated when we made it. When no period was stated, we can end it by telling you at least 30 days in advance. If the offer lowered the price of a running subscription, the return to the regular price follows section 6.1. An offer does not give you a right to keep that price or that access afterwards.
5. Limits and Fair Use
5.1 Plan Limits
A plan can include limits, for example on the minutes of audio or video processed, the number of people who can record, the number of AI summaries or the storage used. The limits of each plan are shown on the pricing page or in the app. Some features also have safeguards that keep the Service fast and affordable for everyone, such as how often a summary can be rewritten in a day.
5.2 What “Unlimited” Means
When we describe something as unlimited, or say there are no credits or counters, we mean that we do not count or charge for it in normal use: the use a beekeeping operation makes of the Service to record and manage its own hives. It does not cover automated or bulk processing, recordings unrelated to beekeeping, reselling the Service, one account shared by several people, or use far above that of comparable operations.
5.3 Use Beyond Fair Use
If your use goes far beyond normal use, we will first contact you to understand it. We may then offer you a plan that fits your operation, apply a reasonable limit, or slow down the processing of the excess. We will never delete your data for this reason. If the use threatens the security or the operation of the Service, we may act at once and tell you afterwards.
6. Changes to Prices, Plans and Features
Beeledger is young and will change as it grows. This section explains what we can change and the protections you keep when we do.
6.1 Prices
We can change the price of any plan, including for subscriptions already running.
- A new price never applies to a period you have already paid for. For a running subscription, it applies from the first renewal that falls at least 30 days after we tell you, by email and in the app.
- When a price goes up, we ask you to accept it (on Google Play, Google asks you directly), except as the next point allows. If you have not accepted it by that renewal, the subscription does not renew at the new price: it ends with the period you have paid for, and your team carries on with the free plan and keeps all its data.
- Outside Chile, where the store rules and the local law allow a price change with notice alone, we may apply it that way. You can always cancel at no cost before it takes effect.
- A price decrease can apply at once.
We may decide to keep an earlier price for some subscribers for a while. That decision does not give anyone a right to keep that price later.
6.2 How Plans Are Structured and Charged
We can change how plans are structured and charged (for example per team, per person who records, per licence or by volume), what each plan includes, its name and its billing periods. New conditions apply to new subscriptions as soon as they are published. For a running subscription, they apply only from a renewal, with the same notice and the same acceptance as a price increase (section 6.1), unless the change only benefits you.
6.3 Limits
We can introduce or change limits (section 5). A change that reduces what a running paid subscription includes applies from a renewal, under section 6.2. If we must apply it sooner, section 6.4 applies.
6.4 Features
We can add, change or remove features, and change the technology and the providers behind them (for example the transcription or AI models we use). If a change substantially reduces a paid plan you subscribe to, we tell you at least 30 days in advance. You can then cancel, and we refund the unused part of the period you have paid for (for Google Play purchases, through Google Play).
6.5 The Free Plan
We can change what the free plan includes and its limits, telling its existing users at least 30 days in advance. Whatever changes, we will not charge you without your agreement, and you keep access to read and export the data you have recorded.
6.6 Ending a Plan or the Service
If we stop offering a paid plan, we either move your team to a comparable plan, under section 6.2, or let the subscription run to the end of the period you have paid for. If we stop offering the Service altogether, we tell you at least 60 days in advance, give you time to export your data, and refund the unused part of any period you have paid for.
7. Your Content and Your Data
7.1 Your Content Is Yours
You, or your team, keep ownership of everything you record or upload: recordings, transcriptions, photos, videos, notes and records (“Your Content”). You give us a worldwide, non-exclusive, royalty-free licence to host, copy, process, transcribe, analyze and display Your Content, only as needed to provide, secure and improve the Service, including through the providers listed in our Privacy Policy. This licence ends when Your Content is deleted, except for copies the law requires us to keep and copies that remain in backups for a limited time.
You are responsible for Your Content and confirm that you have the right to record and upload it, including the voices and images of other people that appear in it.
7.2 Share Links
Anyone who has a share link you create can see what it shares until you revoke it. Share links with care.
7.3 Privacy
Our Privacy Policy explains what we collect, who processes it on our behalf, and your rights. It forms part of these Terms.
7.4 Export and Backups
You can export your data at any time. We back up the Service, but no system is perfect: keep your own copy of anything important, for example by exporting your data regularly.
7.5 Deleting Your Account
You can delete your account at any time from the app or from beeledger.co/delete-account. What happens to your data then is explained in our Privacy Policy.
8. Automated Processing and AI
Transcriptions, records and summaries are produced automatically and can contain mistakes: a misheard number, a fact filed to the wrong hive, a summary that is out of date. Check what matters before you rely on it. The Service is a record-keeping tool. It does not replace your own judgment, a veterinarian or the authorities, and you remain responsible for your obligations as a beekeeper, including any records an authority requires you to keep.
9. Acceptable Use
Use the Service only for lawful purposes and in line with these Terms. Do not:
- Use the Service for an illegal purpose, or to harass or harm others
- Try to access accounts, data or systems that are not yours, or test the security of the Service without our written permission
- Interfere with the Service, overload it or upload malicious code
- Copy, reverse engineer or decompile the Service, except where the law allows it
- Extract data from the Service with bots or scrapers, other than through the exports and integrations we provide
- Resell or sublicense the Service, or share one account among several people
10. Availability and Liability
10.1 Availability
We work to keep the Service available and your data safe, but we cannot promise that the Service will be uninterrupted or free of errors. We may interrupt it for maintenance, and we try to do so at quiet times. Apart from what these Terms say and the guarantees the law gives you, the Service is provided “as is”.
10.2 Liability
We are liable for harm we cause intentionally or through gross negligence, and for anything else the law does not allow us to exclude. Apart from that, and as far as the law allows:
- We are not liable for indirect losses, such as lost profit, a lost harvest or a lost business opportunity
- Our total liability for all claims relating to the Service is limited to the greater of the amount you paid us in the 12 months before the event that gave rise to the claim, and USD 100
10.3 Business Users
If you use the Service for a business, you will compensate us for claims by third parties caused by Your Content or by your breach of these Terms.
11. Suspension and Termination
- You can stop using the Service and delete your account at any time.
- We can suspend or close an account that seriously or repeatedly breaches these Terms, that is used for fraud, or when the law requires it. Unless the urgency of the situation or the law prevents it, we tell you first and give you a chance to fix the problem.
- We can also close an account for another legitimate reason (for example, if we stop operating in your country, or if a provider or the law prevents us from continuing to provide the Service to you) by telling you at least 30 days in advance. We then refund the unused part of any period you have paid for.
- When we close an account, except in cases of fraud or illegal use, you will have at least 30 days to export your data before it is deleted.
12. Changes to These Terms
We can update these Terms, for example when the Service, our plans or the law change.
- We publish every version on this page, with its date.
- When a change reduces your rights or adds to your obligations, we tell you at least 30 days in advance, by email and in the app, and we ask you to accept it. If you do not accept it, you can still read and export your data, but using the rest of the Service requires accepting the new version. If you have a paid subscription, the previous version keeps applying to you until the end of the period you have paid for, or you can cancel sooner and we refund the unused part.
- Changes to prices, to how plans are structured and charged, to limits and to features follow section 6, including your acceptance where that section requires it.
- Other changes, such as a clarification, a new feature or a change the law requires, apply as soon as they are published, and govern your use of the Service from then on.
13. Applicable Law and Disputes
These Terms are governed by the laws of Chile. If you are a consumer, you can bring a claim before the courts and authorities that consumer law makes available to you, including those of the place where you live, and you keep the protection of the mandatory rules of your country. Otherwise, the ordinary courts of Santiago, Chile, have jurisdiction. Before going to court, please write to us: most problems are solved faster that way.
14. General
- Language: these Terms exist in Spanish and English. If the two versions differ, the Spanish version prevails.
- Whole agreement: these Terms, the Privacy Policy and the plan conditions shown when you subscribe make up the whole agreement between you and us about the Service.
- Severability: if a court finds part of these Terms invalid, that part is limited or removed as little as necessary, and the rest stays in force.
- No waiver: if we do not enforce a right at once, we have not given it up.
- Transfer: we may transfer these Terms to another company that takes over the Service, as long as your rights are not reduced. We will tell you if that happens.
