Privacy Policy
Last updated: October 10, 2026
1. Introduction
Beeledger is operated by Vendaq SpA (“Vendaq”, “we”, “our”, “us”), a company registered in Chile at Pastor Fernandez 17100, Lo Barnechea, Chile.
This Privacy Policy explains what the Beeledger mobile app and our websites collect, why we collect it, who else processes it on our behalf, and what you can ask us to do about it. It covers the Android app, app.beeledger.co and beeledger.co (together, the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
2.1 Account Information
- Name and email address
- Account credentials (your password is stored only as a salted hash)
- Profile photo, if you choose to add one
- Preferences you set during onboarding: language, beekeeping experience, hive style
- Your team, and your role within it
2.2 Content You Create
Beeledger exists to turn what you say and see in the apiary into records, so the content you create is the heart of the Service:
- Voice recordings made during hive inspections, and the transcriptions and structured observations derived from them
- Photos and video you capture in the app or import from your device, including the thumbnails and streaming renditions generated from them
- Typed notes, tasks, task completion proofs, and the names you give apiaries, hives and queens
- Inspection and timeline records, including dates, measurements and categories
2.3 Location
- Coordinates you assign to an apiary
- Your device location during onboarding, only with your explicit permission, to suggest a location near you
- Text you type into the location search box, which is sent to Google Places to return suggestions
Location permission is optional. You can decline it and enter locations by hand.
2.4 Device and Diagnostic Information
- Device model, operating system version and app build number
- A push notification token, so we can deliver reminders and alerts you have enabled
- Your device time zone, so that quiet hours and the daily digest happen at your local wall-clock time
- Crash reports, error reports and performance measurements, described in section 2.8
- Synchronisation logs, kept on your device and sent only when you choose to send them from Settings
2.5 Subscription Information
- Your plan, trial status and purchase history
We never receive or store your card details. Payments are handled by the app store or by our payment provider, who act as merchant of record.
2.6 Website and Web App Usage
- Standard analytics about how visitors use beeledger.co, including IP address, browser type and pages viewed
- Analytics about how people use app.beeledger.co: the pages they open, steps such as signing up, and how fast the pages load
2.7 In-App Usage Analytics
The Android app records how it is used, so that we can see which features help beekeepers and where they get stuck. It collects:
- The screens you open, and key actions: signing up and signing in, finishing onboarding, creating an apiary, a hive or a task, completing a task, starting and uploading a recording, a transcription becoming ready, saving an inspection, opening a summary, creating a share link, seeing the subscription offer, and buying a subscription (with its price and currency)
- Your plan, your role in your team, the app build, and whether the account is one of our own test accounts
- Your device model, operating system version and language
- A random identifier for your app installation and, once you sign in, your internal account identifier, which is a random code and not your name or email address
- Your approximate location (country, region and city), which Google derives from your IP address without storing the address itself
- Where the install came from: on its first launch after an install from Google Play, the app reads the Google Play install referrer, which tells us which link led to the install (for example our website, a printed flyer or a search on Google Play)
Usage analytics never include what you record or write: no recordings, transcriptions, notes, photos or video, no names or locations of your apiaries, hives or queens, and no name, email address or phone number.
You can turn usage analytics off at any time with the Share usage data switch in the app’s Settings. While it is off, the app sends no usage analytics from that device.
2.8 Crash Reports, Error Reports and Performance
We collect technical reports so that we can find and fix what breaks or runs slowly. We design them to describe the fault, not your data, and we do not put your name, email address, recordings, transcriptions or notes in them.
- App crash and error reports: when the app crashes, or catches an error and recovers from it, it sends a report with where in the app the error happened, its type and code, the stack trace, the app build, your device model, operating system version, free memory and storage, and a short list of the technical steps that led up to it. Reports carry random identifiers for your installation, device, account and team, and your plan.
- App performance measurements: how long the app takes to start, to sync, to upload a recording (and how large the upload is) and to open its main screens, and how long its network requests take, together with your device model, operating system version, app version and country, which is derived from your IP address.
- Error reports from our web app and servers: when app.beeledger.co, our administration tools or our servers hit an error, they send a report with its type, the stack trace, the page or function involved, and internal identifiers for the account, team, recording or job concerned. Before a report leaves our systems, we remove email addresses, phone numbers, GPS coordinates, access tokens, cookies, form contents and the query part of web addresses. We do not record sessions or screens.
3. How We Use Your Information
We use the collected information for various purposes:
- To provide, maintain, and improve our Service
- To process and analyze your hive inspection recordings
- To personalize your experience and provide relevant insights
- To understand how the Service is used: which features people use, where they get stuck, and which links and campaigns bring new users
- To communicate with you about service updates and support
- To process payments and manage your subscription
- To detect, prevent, and address technical issues and security threats
- To comply with legal obligations and protect our rights
4. Third-Party Service Providers
We use third-party services to run Beeledger. Each one acts as a processor on our behalf, for the purpose listed and no other. We do not sell your information, and we do not transfer it to third parties for their own purposes.
Our application database, authentication and file storage run on servers we operate ourselves, not on a third-party platform.
4.1 Processing the content you create in the app
Your voice recordings leave your device so they can be turned into records. Specifically:
- Deepgram and AssemblyAI: convert your voice recordings into text, and detect which language you spoke.
- Anthropic, xAI and Google (Gemini): read those transcriptions to extract structured observations, categorise them, and infer dates for tasks. Which of the three handles a given step depends on our configuration at the time.
- TypeSafe: reads those transcriptions to check the extracted observations against what you said.
- Bunny Stream (bunny.net): stores and streams the video you capture, and generates the playable renditions and thumbnails.
- Google Firebase: delivers push notifications to your device.
- Google Places: returns location suggestions for text you type in the location search box.
- RevenueCat and our payment provider: record and validate your subscription.
- Upstash: queues the processing jobs described above.
- Resend: sends account emails such as sign-in links and invitations.
4.2 Running our websites
- Google Analytics 4 (Google): measures how visitors use beeledger.co and how
people use app.beeledger.co (section 2.6). It sets cookies, including
_ga. On beeledger.co it does so only after you consent where your location requires it, and the Cookie settings link in the footer lets you change your choice at any time. On app.beeledger.co, visitors from the European Economic Area, the United Kingdom and Switzerland get no analytics cookies, and Google receives only measurements without cookies. Links from beeledger.co to app.beeledger.co carry the analytics identifier across, so that a visit to the website and the sign-up that follows count as one visitor. - Cloudflare: hosts beeledger.co and its server-side functions, counts page views and measures how fast pages load without cookies (Cloudflare Web Analytics), and provides Cloudflare Turnstile, a challenge used on the contact form to block automated spam.
- Bunny Stream (bunny.net): hosts and streams the video on beeledger.co.
- Resend: sends the emails generated by the contact form.
4.3 Measuring usage, errors and performance
- Google Analytics for Firebase (Google): receives the app’s usage analytics (section 2.7). It reports into the same Google Analytics property as our websites, so that the website and the app are measured together. Google Signals and Google’s advertising features are turned off, the property is not linked to any advertising account, and we do not use analytics for advertising.
- Firebase Crashlytics and Firebase Performance Monitoring (Google): receive the app’s crash and error reports and its performance measurements (section 2.8).
- Sentry (Functional Software, Inc.): receives the error reports from app.beeledger.co, our administration tools and our servers (section 2.8).
5. Information Sharing and Disclosure

You can also turn analytics off yourself:
- In the app: switch off Share usage data in Settings.
- On our websites: use Cookie settings in the footer of beeledger.co, block cookies in your browser, or install Google’s opt-out browser add-on.
When you delete your account, the analytics, crash, error and performance data already sent stay with Google and Sentry until the end of the periods in section 8, linked only to random identifiers that no longer match any account. If you want them deleted sooner, write to [email protected] and we will ask Google and Sentry to delete the data linked to your account.
8. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. Audio recordings and associated data are typically retained for the duration of your subscription and may be anonymized for research and improvement purposes.
Our providers delete analytics, crash, error and performance data after fixed periods:
- Usage analytics (Google Analytics): individual events are kept for 14 months, and the data tied to an app installation or a browser for 14 months after its last activity. Aggregated reports, which do not identify any device or account, are kept longer.
- App crash and error reports (Firebase Crashlytics): 90 days.
